Tennis Committee Meeting Minutes     April 3, 2012

Committee Members:

Present:  Barbara Beatty, Phyllis Larned, Charis Melillo, Barbara McArthur, Tom Novakowski,

            Alton Robertson

          Absent: Bobbie Burbank

Emile deCuba was present for ½ hour

Proceedings:

The meeting was called to order by Phyllis Larned at 2:00pm. It was moved by Barbara McA to dispense with the reading of the minutes of the March 1st meeting. It was then moved by Barbara McA and seconded by Tom to correct the minutes to read “April 3, 2012” for the next meeting; motion approved by all.

Financial Report:

Charis distributed the following three financial reports to committee members. These reports are attached to the secretary’s minutes and filed with the Treasurer.

Bernie’s games:  the estimated profit from Bernie’s games is $130.22, which will become a part of the OV Tennis checkbook balance.

St. Patrick’s Day Tennis Round Robin:  Charis read Bobbie’s report of the St. Patrick’s Day event, which fielded 32 players. It was catered by Too Jay’s. A profit of $165.64 was realized. Bobbie’s report is filed with the Treasurer.

Pro-Am Hospice Event: Charis informed the committee that the total proceeds presented to Treasure Coast Hospice from the two day event were $4275.00. Proceeds from the “silent auction” in the form of personal checks written directly to Treasure Coast Hospice were $1775.00 and given to Gene Dziadon. In addition, $2500.00 was generated from other booths and events (clothing, 50/50, Chinese Auction) and a check made out to Treasure Coast Hospice was given to Gene Dziadon to present to that organization. Fifteen of the participating professionals donated their fees. Barbara McA  moved and Tom seconded a motion to accept the financial reports. Charis questioned what to do with monies remaining in the Tennis Committee account. Discussion concerning First Aid Kits, new flags, net replacement, windscreens, court sand were to be directed to maintenance by Al. The consensus was to use the money for OV Tennis improvements and to keep only $500 to $600 as a balance in the checking account unless otherwise directed by the committee. The current balance is approximately $2000. Suggestions will be discussed at a later time.

Manager’s Reports:

Bernie’s Games:

Barbara McA reported that the banquet at the OV Center, catered by Capones, was delicious and nicely served. Bob Parmelee was the emcee and awarded the winning Red Team (450 points) red sport shirts.

Yellow Team was second with 415 points with only a 7 point spread between the next four teams, indicating a well balanced field. The following people were recognized: Shirlee Pike received a gift certificate to Capones for her dedication as scorekeeper; Jeanne DeVaney (Mrs. Bernie) was recognized and presented with a bouquet of flowers for her long time association and involvement with Bernie’s Games; Carmen Ferlissi was awarded a plaque of appreciation by this season’s Bernie’s Committee for his years of dedicated work and association with Bernie’s Games and Bernie’s Committee.

Phyllis  announced that she appointed Bob Parmalee to be Chair of Bernie’s Committee, an adjunct committee under the Tennis Committee’s umbrella. The following people will serve on Bernie’s Committee for 2012-2013: Bill Holliday, Barbara  McArthur (liaison from the Tennis Committee), Bob Parmalee, Rose Schneider, Mickey Spinelle, and Hank Wagner. Charis  moved to approve the Bernie’s Committee members; Tom seconded; motion passed.

Bernie’s Committee will meet in early November to plan for the 2013 season.

Publicity:

Barbara McA reported that Bobbie  has written and submitted the St. Patrick’s Day Round Robin article to Seaword.  Posters encouraging sign ups for next season’s Bernie’s Games are displayed at the courts and in the Pro Shop. Barbara McA wrote the overview of Tennis News for the April Seaword. More information concerning Bernie’s banquet will appear with pictures in the May Seaword. It was suggested that a prominent display of the Tennis Committee’s roster and the various activities that come under its umbrella might enable people to better visualize its functions and make contacting the appropriate committee member easier.

Pro’s Report:

Emile deCuba stated that he would like to get more events on the calendar; maybe another pro/am. A brief discussion took place concerning the feasibility of holding Rally for the Cure next year. It was suggested that 2013 events be placed on this committee’s next agenda.

Maintenance:

Al  has had a walk about with maintenance people. Two nets have been replaced; there is still one to do on the back courts.  Things that need ongoing maintenance are: sand blown off the courts; flags replaced; wind screens tied down; fountains maintained. Cracks, raises and dips  on courts 4 and 5 can present a liability situation and need to be addressed with POA

Old Business:

Tennis Conduct Policy:  This document was emailed to committee members. Discussion resulted in the words  “post season play” being removed. It was then moved by Tom and seconded by Barbara McAr to have Phyllis submit the document to the POA for approval. A proper chain of command will be put in place.       Tennis Rules:  this item was tabled until a later time. Tom distributed a  “club rules” document to committee members for perusal and thought. It was decided at this time to schedule a “brainstorming meeting” for April 17, 2012, at 2 pm in the Tennis Shack.

Pro-Am:  It was briefly noted that a discussion needs to be held on ways to improve this event and increase profits.

New Business: In light of strict budget keeping there is a source the committee can use to supply all the balls for all functions for a cost of $1.50 per can.  Phyllis asked that committee members email her with agenda items. A request from Tom to order next season’s wrist bands with ovtennis.com written on them.

Adjournment:  Charis moved, seconded by Al and approved by all to adjourn the meeting at 3:28 pm.

A brainstorming meeting will be held Tuesday, April 17, 2012 at 2:00 pm at the Tennis Shack.

The next regular meeting will be held Tuesday, May 1st at 2:00 pm at the Tennis Shack.

Submitted by Barbara Beatty, recorder, for Bobbie Burbank, Secretary.
